A web-based modernized platform "Student Portal" has been launched that provides HKUST students with an additional channel to access important information about their academic journey. It is easy to navigate and provides an easy access to information such as academic progress, financial updates and event schedules.
A unified platform for event management has been launched officially by the Information Systems Office (ISO) department at the Hong Kong University of Science and Technology (HKUST). This platform, introduced in January 2024, aims to provide self-services to event organizers and streamline their processes in event registration and payment. A workshop with more than a hundred participants was completed on February 5. Thanks for the valuable feedback from the event organizers. We will continue to enhance this platform.
To enhance the smart campus experience for students, hall residents can now use their mobile phones to make online payments for hall washing machines, dryer machines, and air-conditioning charges on the iOS and Android platforms.
The mobile app also supports inquiries about their electricity usage. Therefore, students can be more cautious about the electricity they have used, thereby achieving the target of saving more energy.
Interview e-form was successfully launched in November 2023 and is in the pilot-run phase for selected departments (ISO, HRO, FO, CCSS, CMO, HSEO) to facilitate non-academic staff recruitment processes that comply with audit recommendations. This e-form records interview panel composition, interview schedule, candidates' CV, and generates the Declaration Form of Conflict of Interest and Candidate Evaluation Form. Panel members and hiring managers are no longer needed to submit the signed forms to HRO on paper.
The HRO Scanning P-File project successfully scanned over 1 million pages, offering notable benefits such as flexible security measures, streamlined retrieval processes, and expandable archival capabilities. The implementation of this project ensures enhanced security protocols, simplifies document retrieval, and provides opportunities for future expansion in the archiving process.
The Treasury system was successfully launched in September 2023 to strengthen control and enhance data security, which comply with Internal Audit recommendations. This platform records investment transactions and generates regular reporting for transaction types, including capital call/distribution, subscription/redemption, and month-end revaluation.
The Immigration Facilitation for Visitors Participating process enhances the existing procedure by introducing a user-friendly e-form as a replacement of paper forms. Once the form is filled, they will be submitted to the immigration and UGC units, ensuring a streamlined and efficient experience for all stakeholders involved.
The Centralized Legal Document Repository provides our users with a single platform for uploading all legal documents with the target of streamlining document searching and eliminating multiple storage locations. By storing all legal documents in a consistent manner, the repository facilitates easy retrieval of information whenever it is needed.
Selective RO message and Travel Expense messages sent to PI for information can now be viewed on the Admin Intranet. In addition, a full screen version of “My Worklist” with filtering and search function is also introduced to enhance user experience.
Central of Laboratory Supplies launched a new online warehouse platform where users can search for stock availability. This helps to facilitate the planning for conducting research that heavily rely on laboratory supplies more effectively.
