Research Information Systems

The University offers a wide variety of systems for managing research life-cycle from the grants application, proposals and projects approval, and grant management to research output reporting.

 

Grant Management System (GMS)

The Grant Management System is designed for the use of the Research Office (RO) to support all activities related to grant management:

• Administer research proposals and projects include HKUST and Mainland;
• Maintain local/overseas/mainland sponsors and programmes;
• Manage proposals from initial application, shortlisted, interview and approval to awarded projects;
• Handle projects life-cycle from new awarded projects to project completion, involves project creation, maintain PM / PI / Co-I list, fund breakdown, deliverables, billing schedule, project documents and internal workflow approval;
• Handle ITC projects and ITF internship;
• Notify Principle investigators (PI) on awarded / declined projects, project deliverables due dates, project updates and project balance;
• Integration with Financial Management System, notify FO team on project creation and project updates.
• Provide wide-range proposal, project reports and management reports;

 

Research Output System (ROS)

The Research Output System is designed for the use of Office of the Vice President for Research Graduate Studies to support all activities related to HKUST Researchers (Faculty and Students) research outputs:

• Support Publications Reporting, include Journal, Conference Paper, Book / Book Chapter and Others;
• Support Awards and Prizes, Presentations and Talks reporting;
• Support Research Office in preparing research output reports for government;
• Provide published publications data to Library Scholarly publications database (SPD);
• Responsive web design.

 

Faculty Online Reporting System (FORS)

The system is designed for the use of Office of the Executive Vice-President to support faculty merit review related activities :

• The design principle of FORS: Data (in read-only mode) retrieve from disparate trusted data sources to ensure single-source of truth and reduce repetitive data entry;
• System integration with HRMS, SIS and FMS systems and 6 other HKUST systems;
• Responsive web design.

 

Integrated Research Information systems is designed to manage research projects life-cycle from grant application, project approval, grant management, research outputs to reporting and analysis.

This is expected to bring the following benefits to Research Services:

• Streamline proposal and project administration and minimize manual processes.
• Improve identification of funding opportunities.
• Standardize research data definition and improve data analysis capabilities.
• Ensure compliance with university and sponsors policies and guidelines.
